AI Communication Colleague · Status questions

Can it answer 'is it ready yet' without asking a colleague?

It answers what you have given it: the standard timings, the pick-up hours, what happens when a part is late, and how you let people know. The specific job goes to the desk as a note with the reference already taken, because a status that is guessed is worse than one the caller waits an hour for.

When this comes up

The moments it happens.

The assistant is configured around the calls that actually come in. These are the moments this one shows up in a working week.

The car, the repair, the order, the file

Anything with a between-stage, which is when people ring to check.

The day after the promised day

The call you would rather answer than miss.

Before coming to collect

A two-minute call that saves a wasted trip, for both sides.

When something has already gone wrong

And the caller has rung twice before.

What it does

The four steps, on the call.

01

Takes the reference

The registration, the order number, the name, read back and confirmed.

02

Answers what is general

Timings, pick-up hours, what you do when something is delayed, from what you gave it.

03

Does not guess the specific

It says a colleague will confirm, rather than putting a date on something it cannot see.

04

Sends the note

To the desk that can answer it, with the reference, so the call back takes a minute.

Why does it not just look it up?

Because on most sites it cannot see the system where the status lives, and a status invented from a general pattern is the one answer a customer will hold you to. Where a connector to that system exists, it reads the status and says it; where there is none, it says what it knows and hands the rest over.

Can it tell people their order is delayed?

It can say what you told it about delays, in general terms. Telling a specific customer that their specific job is late is a message with consequences, and that stays with a person unless you have connected the system that knows.

Does it recognise a customer who rings often?

Where the CRM is connected, the call is placed against the record, so the notes accumulate in one place and the next person can see that this is the third call. The assistant does not treat them differently on the phone unless you asked it to.

What if the caller is angry?

It stays calm, takes the facts, and passes the call to a person sooner rather than later. An assistant that keeps somebody in a loop when they have asked for a person is the fastest way to lose them.

Typically connected here: CRM, E-mail and SMS, Your existing phone number. Further systems on request; the assistant answers on your existing number either way.
