Greets in your name

AI Communication Colleague · The front desk
On the phone, yes. It answers in your business's name, works out what the caller needs, and then does the thing: books the appointment, answers the question, takes the message, or puts the caller through to the right person, who hears a short summary first. It does not replace the person at the desk in front of you.
When this comes up
The assistant is configured around the calls that actually come in. These are the moments this one shows up in a working week.
Somebody is standing in front of them, and the phone is going.
Who are you, what is it about, when do you want to come.
Half the day is spent transferring, and the caller repeats themselves each time.
The first hour is the busiest, and it is also the hour with the most to do in the building.
What it does
The wording you gave it, in the language the caller uses, with the AI disclosure at the start.
Not a menu with four options, a question and an answer, so nobody has to guess which number to press.
Books, answers, takes a note, or transfers with everything it has already been told.
One summary per call, so the desk reads the morning instead of reconstructing it.
No, and it is not built to. It takes the part of the job that happens on the phone while the person at the desk is dealing with the person in front of them. What reaches them is fewer interruptions and a written note for each one, not a smaller role.
Yes. It transfers to the extension or mobile you named for that kind of call, and the person picking up has what the caller already said. If nobody answers, it goes back to the caller and takes a note rather than leaving them ringing.
That it does not know, and then it takes the question down for a person. It is not allowed to fill a gap with something plausible, which is the difference between a note you can act on and one you have to check.
No. There is no press-one, no branch tree and no hold music. It is a conversation, the caller can interrupt it, change their mind and say the thing they actually rang about in their own words.
